Step 1 — Log the vehicle when it arrives

Reception records the vehicle and what the customer is complaining about. Plate number and phone number are enough — the customer is created automatically if they are new.

The whole job in seven steps

  1. Log the vehicle when it arrives. Reception records the vehicle and what the customer is complaining about. Plate number and phone number are enough — the customer is created automatically if they are new.
  2. Assign a mechanic and apply a template. Every job card has an assigned mechanic and moves through Draft → In Progress → Completed → Delivered, visible to the whole team. A skill matrix suggests who suits the job, and a template fills in a standard package of parts in one click.
  3. Get the customer’s approval. Before any repair beyond the original complaint, the estimate goes to the customer’s phone. They approve or reject it, and the decision is logged with a timestamp — so there is never an “I never agreed to that”.
  4. Do the repair; stock updates itself. The mechanic clocks in, so time and labour cost are tracked per job. When parts are added to the job card, stock is deducted automatically and a low-stock alert fires before you actually run out.
  5. Generate the invoice, VAT included. The invoice builds itself from the job card. 13% VAT is calculated automatically, and if the customer has an AMC membership the discount is applied before VAT.
  6. Record payment, release the vehicle. Record the payment as Cash, eSewa, Khalti or Bank Transfer. The gate pass is generated only when the invoice is fully paid, so the guard knows exactly which vehicle is cleared to leave.
  7. What the customer keeps. The customer sees everything on their own login: live status, estimate, invoice and photos. The job also joins the vehicle’s Health Passport — a public QR page with its verified service history, valuable when the vehicle is resold.
